Managing “Junk” and “Other” Folders in Outlook


Junk Folder - When an email is received in Outlook, it is checked versus different criteria and if the email satisfies those criteria it is sent to the Junk Folder instead of the standard inbox. Some of the checks include whether the email comes from a source outside the organization and is a known “spam” source.


To view your spam folder, open Outlook and select the folder on the left hand side of the screen.

Outlook Web version -

After selecting the Junk Folder, you can then view all the emails that have been automatically sent to the folder. If you see an email that has been sent to the Junk Folder, but is not actually a junk email you can correct this in different ways depending on whether you are using the web version or application version of Outlook.


Outlook Web version:

Right-click the email and select “Mark as not junk”. This will send the email to your inbox and help prevent similar emails from being sent to the junk folder in the future.



Outlook App version:


Right-click the email, select “Junk” from the drop down menu, then select “Not Junk”. This will send the email to your inbox and help prevent similar emails from being sent to the junk folder in the future.


Other Folder
- The “Other” Folder in Outlook can be thought of as a place where emails go that haven’t met the criteria to be determined as Junk, but also haven’t met the criteria to go to your Inbox. These are typically recurring emails that you don’t open very often, but don’t come from outside the organization or are not from known “spam” sources.

To view your “Other” Folder, simply click on “Other” located next to the “Focused” button at the top of your inbox email list. (This is the same for both the application and web version of Outlook)



If you ever encounter a situation where someone has sent you an email and it isn’t showing up in your inbox, checking both your Junk and Other folders for the email is the best place to start.
