AutoFile User Guide

AutoFile is the best tool to file documents in Etrieve when you have a lot of documents for one student or multiple students. It copies information from Colleague screens so that you don't have to type all of a student's information for each document. 


  1. AutoFile must be installed on your computer. If it's not installed yet, open a Help Desk ticket: Get IS Help request.
  2. If you are asked for a Data File when you open AutoFile (part of one-time setup), paste in: net.tcp://146.86.4.49:8500/ImportableArchive/ 
  3. In AutoFile, select the Etrieve area you want to target in the Archives dropdown. This will change the Document Types available in the next dropdown.
  4. The (Please Select) document type is selected by default for each area. If you forget to choose another document type, your documents will get filed in Etrieve with (Please Select) as a document type. This is for security purposes–only people with permission to view documents in that area will be able to see (Please Select) documents. 
  5. Add documents either by dragging them from your computer into the left-side frame or hitting New Scan to get them from a scanner.
  6. After adding documents, navigate to Colleague in the Chrome browser. During installation, an IS staff member should have ensured that Chrome was set up for this. If you have trouble with the steps below, some settings may need to be tweaked.
  7. Search for the student in Colleague.
  8. Press the Auto-Populate link in AutoFile. You should click on the Colleague screen to make it the active browser window, then immediately on AutoFile. This will pull information from Colleague (for most documents, it will fill in Colleague ID, Full Name, and Scanned By).
  9. Complete any other fields as appropriate.
  10. You can file documents one by one or select File All, which will immediately send all documents in the left-side frame to Etrieve and file them. 
  11. Documents may take up to 30 minutes to appear in Etrieve.
