How to Assign a Proxy to Approve Your Employees' Time Entry on Self-Service and Approve as a Proxy

If you plan to be out of the office when time approval is due, you can assign a proxy to do it in your place. 

  1. Navigate to Self-Service: go to westminsteru.edu, then click Info For > Faculty and Staff, then click the purple Self-Service button.

  2. Click on the Employee menu.



  3. Click on the Employee Proxy option.



  4. Click the Add Proxy button.



  5. Under "Select Proxy Type", choose whether you would like this proxy to be able to approve Time Entry requests or Leave requests. If you would like them to do both, you will have to do this process twice. 



  6. Enter a start and end date that this person will have this proxy access. 



  7. Search for the name of the person you want to add as your proxy. This would typically be your supervisor (a person should not be approving their own time). You must search by First Last name; First Middle Last name; Last, First name; Last, First Middle name, or else no results will come up. 



  8. Select the user. They should show up as seen below. 



  9. Click the purple Add Proxy button.

  10. You should get a message that says "Proxy access successfully added" for the user you selected. Both you and the user you added will get an email letting them know they were selected as a proxy. You can add another proxy by clicking the Add Proxy button at the bottom left. To remove a proxy, click the red X next to their name. You and the user will both get an email confirming the removal of access. 



  11. When they proxy signs into Self-Service during the allowed time frame, they will get a message asking which profile you would like to use. To approve time as a proxy, click on the other user's account.



  12. You will then see only the option of the Employee menu. If you want to switch back to your own account, click Change User at the top in the gold menu bar.



  13. Then click on the Time Approval button. If you were given Leave Approval access, you will see that option below instead (or in addition to, depending on what proxy access you were given).Â
