Printing to a Ricoh Printer - How to Add a User Code

Some Ricoh printers require you to use a Ricoh user code. If you are unsure if your printer needs a user code, you can:

  • Ask your office administrator or supervisor.

  • Go to the printer and click on the copier function. If a code is required, it will ask for one at that time. If not, no code is needed.

  • Submit a Help Desk request if you are still unsure.

If a user code is required, you will need to ask your office administrator or supervisor for your specific user code. If they are unable to find the code, submit a Help Desk request and we can track down that information for you.

To embed the user code in the printer settings so that you do not have to type it in every time you print:

  1. Open Printers and Scanners from the Start search menu > select the printer name > click Manage > click Printing Preferences.

     

  2. The place to enter the code can vary between printers, but typically is under "Job Setup". You shouldn't have to change the authentication method (or anything else), just enter the code in the box that asks for User Code and click Apply.

    In the example below, you must click on the Detailed Settings tab (1), then Job Setup (2), fill in the User Code (3), then click Apply (4).


If no user code is required but you are still unable to print, there may be another issue going on. Please submit a Help Desk request so that we can resolve the issue.
