Self-Purchased Equipment for Computing Devices and Printers
(Please note this is a working document as technology changes this procedure will need to be changed, visit frequently for the most up-to-date information!)
Information Services (IS) provides one computer set-up for each full-time employee. The set-up will include:
One computing device
Docking station (when appropriate)
Monitor
Keyboard
Mouse
IS will also provide at least one networked printer will be provided on each floor of each building where possible. Tablets of any make or model are not provided by IS as a standard computing device.
If additional equipment is needed or wanted the equipment would be considered self-purchased. Self-purchased equipment will need to be purchased using the department’s budget, and the department will replace it when replacement is needed. This includes equipment that is purchased with grant money. Below are the options that are available when purchasing self-purchased equipment:
Computing Devices (Laptops, Desktops) option one:
The equipment’s serial number and MAC address will be placed into IS inventory as self-purchased.
The equipment may only be on the Wi-Fi network. This is done because IS cannot control whether the computer is up to date on operating systems and security configurations.
The department would also need to purchase any additional equipment that might be needed (monitors, adapters, power supplies, keyboard, mouse, etc.).
The employee would be removed from the computing device replacement cycle and the department would be responsible for any future replacements.
IS support for self-purchased equipment is limited, we will do our best but may refer the user to outside vendors/experts at their department’s cost.
The user would be the administrator of the device and would be responsible for all updates to the operating system, security polices, etc.
Academic and administrative software purchased by the University will not be added to the device.
Any printing will need to be done through web print.
Some applications used by the University, such as Colleague, would need to be accessed through Westminster Anywhere.
If the equipment breaks, the department that purchased it will be responsible for repairing or replacing it, if needed.
Computing Devices (Laptops, Desktops) option two:
The equipment’s serial number and MAC address will be placed into IS inventory as self-purchased
The equipment will be added to our domain or if the device is a laptop, enrolled in Westminster’s mobile device management (MDM) solution.
The equipment will have Westminster’s standard image installed on it.
The user will not have administrator rights.
The department would also need to purchase any additional equipment that might be needed (monitors, adapters, power supplies, keyboard, mouse, etc.).
The employee would be removed from the computing device replacement cycle and the department would be responsible for any future replacements.
Academic and administrative software purchased by the University can be added to the device.
If the equipment breaks, the department that purchased it will be responsible for repairing or replacing it, if needed.
The equipment will be supported by IS, however the user may need to take it to an outside resource if IS feels it is an equipment problem, at their department’s cost.
Printers:
The equipment’s serial number and MAC address will be placed into IS inventory as self-purchased.
Users must print to them via USB connection.
Users will also be responsible for purchasing and installing ink.
Users will contact the vendor for service if needed.
If the printer breaks, the department that purchased it will be responsible for repairing or replacing it, if needed.
Tablets:
The equipment’s serial number and MAC address will be placed into IS inventory as self-purchased.
The equipment may only be on the Wi-Fi network. This is done because IS cannot control whether the computer is up to date on operating systems and security configurations.
The department would also need to purchase any additional equipment that might be needed (monitors, adapters, power supplies, keyboard, mouse, etc.).
Support for self-purchased equipment is limited.

Self-Purchased Monitors:
If you have a self-purchased monitor and you have come up on the 6-year replacement cycle you will receive a new monitor with your computing device the monitors may not match.
Recycling Self-Purchased Equipment:
IS pays a company to recycle technology equipment, and we are happy to charge other budgets if they would like to use the same recycling company. The cost of the service is .60 cents per pound, meaning if you wanted to recycle a microwave that weighs 30 pounds you pay $18 to recycle it. To start this process please submit a ticket telling us where the equipment is, approximately how much equipment we will be picking up, and the departments budget code. Our team will arrange a time for pick-up, weigh the equipment and give you cost. Accounting will be notified of the cost and money will be transferred.
Users with two computing devices as of April 9, 2024:
If you have two computing devices (one that is self-purchased and one that is University provided) you will be considered “grandfathered” however, when you are set to receive a new University provided device because of the the 6-year replacement cycle. You will be given the choice to keep the self-purchased equipment and IS will remove the University provided equipment, or you can receive the new University provided equipment and IS will remove both devices (self-purchased and old University provided). If you choose to keep the self-purchased equipment you will be held to the procedure listed above, this includes the removal of all University provided equipment (monitors, adapters, power supplies, keyboard, mouse, etc.).
